The Sales/Project Coordinator Is responsible for the entire sales proposal process, including management of customer proposals from pricing entry point through punch list, providing support to sales personnel, and accurate and timely service to customers. Coordinates pricing entry, order management, factory interface and close-out of job/project

Responsibility of Duties
The following sets out the principal functions of the position and shall not be considered as detailed descriptions of all work requirements.
Customer Service
- Communicates with customers regarding project status, punch list resolution and the scheduling of project for delivery/installation.
- Provides clarifications and answers to customers' questions regarding project issues
Order Preparation
- Assists sales/project personnel in pricing, product research and technical order information (C.O.M. requirements, custom requirements, etc.)
- Assists sales with the preparation of the quotation; reviews quote and prints it for a sales presentation to the customer
- Reviews and proofs order for basic information (ship to, the bill to, contract number, etc.), accuracy and completeness
- Enters orders into the computer system; sends purchase orders to sales personnel.
Sales Order Management
- Disperses order information to appropriate internal and external personnel (sales staff, operations, customers, etc.)
- Checks acknowledgments against the order; resolve discrepancies with the factory; sends an acknowledgment to the customer; verifies ship date with the customer
- Reviews receiving information from field operation and match to order; resolve discrepancies before approval and sending to payables; enters receiving information into the sales order system
- Invoices customer for the product delivered and work performed; verifies invoice amounts and balance to customer’s P.O.
- Enters orders for punch list/warranty work; follows up to ensure all punch list work is done in a timely manner
Work Order Management
- Prepares work order packet and delivers the packet to operations
- Provides schedule information to the dispatcher
- Initiates service quotes for deliveries, small orders, and major orders (if required)
File Control
- Maintains master sales order and work order files, ensuring the file is complete and up to date
Sales/Work Order Close-Out
- Maintains and files customer signoffs for all assigned sales/work orders
- Invoices for all product and service work for assigned sales/work orders
- Is responsible for punch list resolution, including ordering products and initiating work orders; follows up to ensure timely completion of punch list work
Project/Account Coordination
- Initiates and oversees deliveries and small installations; provides order management on all work, including large projects
- Analyzes order requirements, details scope of work, requests service pricing and schedules work with the dispatcher for deliveries and small installations
- Interfaces with factory on order status, current lead times, reservation of manufacturing for future/project orders, specials requirements, C.O.M. requirements, etc.
- Communicates with the customer on the schedule of work, site requirements and project parameters for deliveries and small installations • Manages factory interface and shipping coordination for all work
- Oversees delivery and small installation task completion
Knowledge, Skills and Abilities
Knowledge
- High School Diploma
- Must have two 2+ years of experience working in the Furniture Assembly industry, Project Management, or a related capacity
- Demonstrated knowledge of the Occupational Health and Safety Act (OHSA), and WHMIS 2015

- Proficiency in Microsoft 365 and Suite of products

- Valid and satisfactory Criminal Record and Judicial Matters Check
Working Conditions
Active construction site or end-users office environment with significant interruptions
Employment Terms
Position: Full-Time, Permanent
Hours: Forty-four (44) hours per week

Compensation
